Not all repetitive work is ready for AI. The best candidates share a few specific characteristics - and recognizing them early saves a lot of wasted effort.
"Repetitive" is not the same as "ready for AI." Plenty of repetitive work requires judgment, context, or relationship knowledge that makes it hard to automate well. Plenty of other repetitive work is genuinely straightforward and just needs the right system.
The difference matters because building an AI system around work that is not ready wastes time and creates frustration. The team tries it, it does not work reliably, and they go back to doing it manually - now with less trust in the whole idea.

The characteristics of AI-ready work
The inputs are consistent
AI works best when it knows what to expect. If the inputs to a task vary wildly - different formats, different levels of completeness, different terminology - the outputs will be inconsistent too. The best candidates for AI support are tasks where the inputs follow a pattern. Same form fields, same document structure, same type of request.
If the inputs are not consistent yet, that is often fixable. Standardizing an intake form or a document template can make a task AI-ready that was not before.
You can describe what a good output looks like
If you cannot describe what a good output looks like in concrete terms, AI cannot produce it reliably. "A good summary" is not specific enough. "A three-paragraph summary that covers the client's main request, the agreed timeline, and any open questions" is specific enough.
This is a useful test: ask the person who does the task to describe what a good result looks like. If they can describe it clearly, the task is probably AI-ready. If they say "you know it when you see it," it probably is not - at least not yet.
A human still reviews the output
The best AI-assisted workflows keep a human in the loop. Not because AI cannot be trusted, but because the goal is leverage, not replacement. A human reviewing a draft takes a fraction of the time it takes to write one. A human checking a routed task takes less time than deciding where to route it.
Tasks where the output goes directly to a customer or makes a consequential decision without review are higher risk. Start with tasks where the output is internal, or where there is a natural review step before anything goes out.
The task happens often enough to matter
This sounds obvious, but it is easy to overlook. If a task takes 30 minutes but only happens twice a month, saving half that time recovers one hour per month. That is probably not worth building a system around.
The tasks worth targeting are the ones that happen daily or weekly, or that happen in volume - many instances of the same thing, each taking a small amount of time that adds up.
A quick filter: frequency × time per instance. A task that takes 10 minutes and happens 20 times a week is 200 minutes. Cut that in half and you recover over an hour and a half every week. That is worth building.
A practical way to find candidates
Ask your team one question: "What work do you do that feels like you have done it a hundred times before?" Then follow up with: "What information do you need to do it, and what does the output look like?"
The answers will surface the candidates quickly. Look for tasks where the person can describe the inputs and outputs clearly, where the task happens regularly, and where they would genuinely welcome a faster way to get through it.
Those are the tasks to start with. Not the most complex ones. Not the ones that would be impressive to automate. The ones that are clearly ready and clearly worth the effort.
What to do with the ones that are not ready
Some tasks will not pass this filter. That is fine. The answer is not to force them into an AI system - it is to understand why they are not ready and decide whether it is worth fixing.
Sometimes the fix is simple: standardize the input format and the task becomes AI-ready. Sometimes the task genuinely requires judgment that cannot be systematized, and the right answer is to leave it alone.
The goal is not to automate everything. The goal is to identify the specific work where AI creates real leverage, build reliable systems around that work, and leave everything else to the people who are good at it.
